Quinceañeras · My celebration plan

Free planning worksheet. Your choices, your traditions, your budget.

Keep this file private. Do not add guest lists, addresses, or information about children.

01 · Planning checklist

☐ 6–12 months before · Start with her ideas · Ask how she wants to celebrate
Talk with the quinceañera about the atmosphere, music, people, and moments she wants. Decide together which traditions feel meaningful and which she would rather skip, including public speeches, a court, or a surprise dance.

☐ 6–12 months before · Start with her ideas · Agree on a realistic scope
Choose a few priorities before committing to a long list of extras. List the planned spending, responsibilities, and decision dates in one place so the family can compare options with the same information.

☐ 6–12 months before · Start with her ideas · Give family help a clear shape
If padrinos, madrinas, or relatives offer support, agree on the exact role and what they are comfortable contributing. Help can mean rehearsal rides, decorating, a reading, a keepsake, time, or money; do not assume any contribution.

☐ 6–12 months before · Start with her ideas · Choose a date around real schedules
Check school activities, important family travel, venue options, and any ceremony you want to include. Start with a household guest estimate and confirm who will make final planning decisions.

☐ 3–6 months before · Choose people and traditions · Decide whether to include a ceremony
If the family wants a religious celebration or blessing, speak with the chosen community about its format and preparations. A secular celebration can also include a welcome, a family message, or another meaningful moment.

☐ 3–6 months before · Choose people and traditions · Make the court optional and manageable
If she wants damas, chambelanes, or another group, ask each person before announcing the court. Explain clothing, costs, rehearsals, transportation, and responsibilities, and make room for someone to say no.

☐ 3–6 months before · Choose people and traditions · Help both sides of the family follow along
Choose English, Spanish, or both for invitations, welcome remarks, and the program. Confirm the spelling and pronunciation of names, and keep announcements short enough that guests do not miss the next moment.

☐ 3–6 months before · Choose people and traditions · Plan invitations and guest comfort
Confirm which household members and friends are invited, plus a private contact for access or food requests. Check step-free routes, seating for older relatives, restrooms, and a quieter space away from the speakers.

☐ 6–12 weeks before · Bring the details together · Plan the outfit for the whole day
Schedule fittings and check that she can sit, walk, and dance comfortably. Decide who will bring any change of shoes or outfit, help with getting ready, and keep personal items together.

☐ 6–12 weeks before · Bring the details together · Build a rehearsal plan if she wants dances
Choose the waltz, family dance, or surprise routine only if she wants them. Keep rehearsal times clear, confirm rides with each participant’s family, and choose a simpler version if the full routine becomes stressful.

☐ 6–12 weeks before · Bring the details together · Confirm food, music, photos, and setup
Get the scope and schedule from every vendor, including delivery, equipment, staffing, and cleanup. Give the photographer a short list of meaningful people and moments without filling every minute with posed photos.

☐ 6–12 weeks before · Bring the details together · Choose the stories she wants to share
Let her review childhood photos, family messages, and slideshow captions before they are shown. Ask permission from the people included and avoid embarrassing surprises or private details in public displays.

☐ 6–12 weeks before · Bring the details together · Keep RSVPs and family messages organized
Share a clear RSVP deadline, location, start and pickup times, and one contact for questions. For WhatsApp, use private messages where practical; explain visible phone numbers before adding people to a group, and avoid putting children’s details on public links.

☐ 1–4 weeks before · Confirm and rehearse · Write the order of special moments
Confirm entrances, any ceremony, food, dances, speeches, cake, and the final song. Give the emcee and vendors a dated copy with song versions, name pronunciation, and the person who will cue each moment.

☐ 1–4 weeks before · Confirm and rehearse · Make the heat and rain plan practical
Confirm shade, water, a covered or indoor option, and a comfortable getting-ready space. Name who decides to move the event, when they decide, and how guests and vendors will hear about the change.

☐ 1–4 weeks before · Confirm and rehearse · Confirm rides, supervision, and final counts
Have parents or guardians confirm drop-off and pickup arrangements for younger guests. Recheck the headcount, assign trusted adults to agreed responsibilities, and share contact details privately with the people who need them.

☐ Event day + afterward · Celebrate and remember · Protect time for her to enjoy the celebration
Choose a day-of point person to handle vendors, schedule questions, and belongings. Leave room in the timeline for eating, resting, talking with friends, and a change of plans if she needs a pause.

☐ Event day + afterward · Celebrate and remember · Thank people and review what gets shared
Make a short list of the people who helped and the specific things they did. Let the quinceañera and her parent or guardian review photos and videos before public sharing, and send private albums only to the intended recipients.

05 · Traditions you can make your own

A waltz, a family dance, or her own playlist
She can choose a traditional waltz, a dance with an important person, a group routine, or no formal dance. Keep the preparation and performance comfortable for her.

A court that fits her friendships
A court can be small, large, mixed, or left out entirely. Choose roles around willing friends and relatives, with clear expectations and no pressure to spend beyond what they can manage.

A keepsake with a story
A last doll, a change of shoes, a piece of jewelry, a letter, or another family object can mark the moment if she wants it. Explain its personal meaning rather than treating any one item as a requirement.

A blessing or messages across generations
Invite a short blessing, a few family words, or recorded messages from relatives who cannot attend. Agree on the content and length with her ahead of time.

06 · Include family from far away

A link is not a guest list

Anyone with a YouTube unlisted link can watch and forward it. Private videos use selected viewers instead. Choose the intended audience, check the actual visibility setting, and test access with a relative before sharing.

YouTube privacy settings

Check who can host the stream

Review channel verification, restrictions and current age rules before choosing YouTube. For a quinceañera, appoint a trusted adult host and read the specific rules for streams featuring minors; a planning page does not establish eligibility.

YouTube live eligibility and age rules

Do not leave activation until event day

YouTube mobile streaming has separate subscriber and device requirements. First-time activation can take up to 24 hours, and some channels have audience limits. Check the current mobile rules and test the account you intend to use.

YouTube mobile requirements

Rehearse where it will happen

Test the actual venue connection, camera framing, movement and microphone with someone watching remotely. Check battery or power, assign a host, and keep an approved recording or phone-call backup. A successful test cannot guarantee an uninterrupted event.

YouTube connection, audio and motion testing

Remote attendance is a planning guide, not a staffed livestream service. Assign a trusted host and test your own chosen platform.
