Start with your actual plan.
Plan the ceremony sound separately from the reception music and announcements.
Bring the date, ceremony and reception locations, approximate guest count and service hours. Decide together what matters to you, then give every vendor the same request. Family help and traditions are choices you both can make.
17 questions to take to the conversation.
Use the questions that fit the service you are requesting. Ask for a written answer, quantity or time instead of leaving it at “we take care of everything.”
- Are you available on our exact date and at our location? What holds the date, and when does this quote or hold expire?
- Who will actually deliver the service, who can explain the plan in English and Spanish, and how do we approve staff or subcontractor substitutions?
- Can you list the complete scope and total in one currency, including taxes, required fees, travel and any overtime rates?
- What deposit and remaining payments are due, on which dates, and how do we receive a receipt and written confirmation?
- Who is the named ceremony sound operator and who is the reception MC? Are both included for the full schedule?
- Can we review both languages, our names and the wording of introductions before the wedding?
- Which microphones are included for the officiant, readings and vows, and when do you test them?
- How do you cue the processional and recessional, including a pause or change if the ceremony runs late?
- Are separate sound systems needed for the ceremony, cocktail hour and reception, and what is the cost of each?
- What is the deadline for our first-dance edit, special dances, must-play songs and do-not-play list?
- Who checks with us before inviting a surprise speech, game or tradition that we did not approve?
- Who coordinates speech microphones and photo cues with the caterer, photographer and coordinator?
- When is setup, sound check and removal for each area, and can equipment stay clear of accessible paths?
- What are your dinner-volume plan, venue sound limits and rules for guest song requests?
- What backup microphones, playback files and equipment are ready if ceremony audio or a speaker fails?
- If we cancel or change the date, what notice, fees, refunds, credits and new-date availability apply to our booking?
- What is the final confirmation deadline, who is our event-day contact and how will you document approved changes or a backup plan?
