Start with your actual plan.

Match coverage hours to the ceremony, portraits and reception you actually want documented.

Bring the date, ceremony and reception locations, approximate guest count and service hours. Decide together what matters to you, then give every vendor the same request. Family help and traditions are choices you both can make.

17 questions to take to the conversation.

Use the questions that fit the service you are requesting. Ask for a written answer, quantity or time instead of leaving it at “we take care of everything.”

  1. Are you available on our exact date and at our location? What holds the date, and when does this quote or hold expire?
  2. Who will actually deliver the service, who can explain the plan in English and Spanish, and how do we approve staff or subcontractor substitutions?
  3. Can you list the complete scope and total in one currency, including taxes, required fees, travel and any overtime rates?
  4. What deposit and remaining payments are due, on which dates, and how do we receive a receipt and written confirmation?
  5. Who are the named lead photographer and videographer, and can we see a full wedding gallery or film from the team assigned to us?
  6. Can you cover both getting-ready locations, or is a second photographer or travel time extra?
  7. Do the booked hours start at arrival, the first photo or the ceremony, and are breaks or travel included?
  8. Can we plan a first look or see each other for the first time that day at the ceremony? How does each choice affect portrait timing?
  9. What ceremony photography restrictions will you confirm with the venue or officiant, and who records vows and speeches?
  10. Can we agree on the family-group list, an accessible portrait spot and someone who gathers relatives in both languages?
  11. How do you capture our chosen traditions without requiring dances, speeches or poses we do not want?
  12. What edited-photo count, film lengths, albums and prints are included, and which extras or usage restrictions remain?
  13. When will previews and final files arrive, how long is the gallery available and how do we request a correction?
  14. Can we choose whether our images are used in your portfolio or advertising, and how do you record that choice?
  15. When are lights and microphones installed and removed, and what is your plan for rain, camera failure, lost audio and file backup?
  16. If we cancel or change the date, what notice, fees, refunds, credits and new-date availability apply to our booking?
  17. What is the final confirmation deadline, who is our event-day contact and how will you document approved changes or a backup plan?
