Are You Asking Your Wedding Vendors the Right Questions?
Know what to ask before you book. Choose practical wedding question sheets for each vendor, write the answers and compare the same service.
Ask for the details you can use.
Confirm your exact date, named staff, complete service and total quote. Then ask about setup, cleanup, accessibility, bilingual cues, cancellation, rescheduling and backups. Keep unanswered items Pending until they are agreed in writing.
Start with the wedding you both want.
You may be planning two locations, a ceremony, dinner and a dance floor. Ask how those parts connect before you book each one. Agree on your priorities as a couple so every vendor is quoting the wedding you actually want.
A first look, special dance, padrinos, lazo or arras may be meaningful to you. Include only the moments you choose and confirm ceremony details with the person leading it.
Give every vendor the same facts.
Write one request with your date, locations, estimated guest count, service hours, language needs and the exact items you want. Share only what that vendor needs. Keep the adult organizer’s contact on the working copy, with private guest information elsewhere.
- Are you available on our exact date and at our location? What holds the date, and when does this quote or hold expire?
- Who will actually deliver the service, who can explain the plan in English and Spanish, and how do we approve staff or subcontractor substitutions?
- Can you list the complete scope and total in one currency, including taxes, required fees, travel and any overtime rates?
- What deposit and remaining payments are due, on which dates, and how do we receive a receipt and written confirmation?
Choose the question sheet for the next conversation.
Each guide has specific questions, numbered answer spaces, printable Confirmed/Pending boxes and a three-vendor comparison. Use the services you need; there is no requirement to hire every category.
- Venue and reception space
Check ceremony and reception arrangements together, including the transition between them.
- DJ and MC
Plan the ceremony sound separately from the reception music and announcements.
- Photography and video
Match coverage hours to the ceremony, portraits and reception you actually want documented.
- Catering and cake
Ask how the menu and staffing work from cocktail hour through the cake service.
- Décor, flowers and rentals
Count ceremony and reception items separately and decide what can be reused between them.
- Hair, makeup and attire
Book appointments against the photo and ceremony schedule, with clear alteration and touch-up plans.
- Transportation
Plan separate movements for the couple, wedding party and guests rather than assuming one trip covers everyone.
- Coordinator and choreographer
Separate wedding-day coordination from optional dance lessons, then connect both to one timeline.
Ask who takes care of the handoffs.
Ceremony sound, portraits, the room change and dinner may be handled by different people. Ask who gives each cue, who moves equipment, who tells guests where to go and who approves a delay or extra charge.
- A named lead and backup contact, not only a company name.
- Accessible entrances, seating, restrooms and clear service paths.
- Names and announcements checked in English and Spanish when needed.
- A written plan for equipment failure, weather, missing staff and a changed date.
Separate Confirmed from Pending.
“We can probably do it” stays Pending. Record the answer, who gave it and the date. Mark Confirmed when the detail is agreed in writing. If the scope changes, get a new total and update the affected timeline. For cancellation or rescheduling, ask about notice, charges, refunds, credits and actual new-date availability before committing.

Common questions
Which vendor should we speak with first?
Start with the decision that blocks the rest of your plan, often the date and location. These sheets do not rank vendors or predict availability; ask the providers you are considering about your actual date.
Can our family help with these conversations?
Yes, if you both want that help. Choose one adult organizer to collect answers and identify who can approve changes. Keep your shared priorities as a couple in the plan.
Put the plan on paper.
